Maywood Middle School PTSA Standing Rules
- The name of the PTSA local unit shall be Maywood Middle School PTSA; the local unit number is 2.6.40. This PTSA was chartered in 1969.
- This PTSA serves the children in the Maywood Middle School community.
- This unit was incorporated as a nonprofit corporation in the State of Washington on September 27, 1997. Its corporation number is available upon request. The treasurer is responsible for filing the Annual Corporation Report. The registered agent for this corporation is the Washington State PTA.
- This PTSA is registered under the Charitable Solicitations Act; its registration number is available upon request. The treasurer is responsible for filing the annual registration.
- This unit was recognized by the IRS as a tax-exempt organization on December 2, 1996 under Section 501 (C) 3.
- The current treasurer is responsible for filing IRS Form 990 or Form 990EZ prior to November 15th, if required. The treasurer is also responsible for filing the annual report, maintaining all incorporation papers, compiling and maintaining the PTSA’s Legal Documents Notebook, and fulfilling all the duties as outlined by the Washington State PTA By-Laws.
- The secretary is responsible for taking, distributing and maintaining the minutes for Executive Committee Meetings, Board of Directors meetings and General Membership Meetings. The secretary will also handle correspondence as directed by the President.
- The membership service fee of this unit shall be $15.00 per person or $25.00 per couple.
- The elected officers of this PTSA shall be President, Vice President: Communication, Vice President: Finance; Vice President: Volunteers, Secretary and Treasurer. These officers shall serve as the Executive Committee. In the event that the President(s) is unable to fulfill their duties during their elected term, or if the office becomes vacant, the order of succession shall be VP: Finance, followed by VP: Volunteers, VP: Communication, Secretary and Treasurer.
- Any elected position may be held jointly by two (2) people. Each co-position is entitled to one (1) vote at a Board of Director’s meeting, with the Co-Position holders rotating voting privileges every other meeting.
- The Board of Directors of this PTSA shall consist of the Elected Officers (Executive Committee) and the Chairs of any Committee that has agreed to attend all monthly meetings consistently and who’s commitment to attend each meeting is received by the President(s) on or before the first scheduled meeting of each new school year or at a later date with Board approval and up to three (3) At-Large positions to be appointed by the President and approved by the Board. At-Large Board Members shall be entitled to voice and vote. This PTSA’s Board of Directors will meet monthly, on a date and time to be determined by the Board before the start of each new school year.
- There will be at least three (3) General Membership meetings of this unit during the year to conduct business; adopt a budget; approve the standing rules; elect the Nominating Committee and elect Officers. The Board of Directors shall determine the time and dates of meetings in accordance with the Washington State PTA Uniform By-Laws.
- The PTSA shall conduct an audit of its books and financial records in January of each year, in addition to the required audit at the close of the fiscal year. The President shall appoint an Audit Committee to be approved by the Board by December 31, of the current calendar year.
- All requests for reimbursement shall be submitted, with original receipts attached, to the Treasurer by June 1 of the current school year.
- The signatures of at least three (3) elected Officers shall be on the signature cards for this PTSA’s authorized bank account.
- An elected Officer’s or Board Member’s position shall be declared vacant if that person misses three (3) consecutive meetings unless excused by the President.
- The students of Maywood Middle School shall be considered honorary members of this unit without voice, vote or privilege of holding office.
- All committee Chairs shall be current PTSA members of the Unit. Committee Chairs shall be approved by the Board of Directors.
- A Golden Acorn Award shall be presented annually to outstanding volunteer(s). An Outstanding Educator Award shall be presented annually to outstanding staff member(s). A committee appointed by the President(s) and approved by the Board shall select the recipient(s). The Board of Directors shall determine the number of recipients on an annual basis.
- Voting delegates to the Issaquah PTSA Council shall be the President and three (3) authorized delegates.
- Voting delegates to Annual State PTA Convention shall be determined in the following order: Outgoing President (s), incoming President(s), incoming Vice President(s), incoming Secretary, incoming Treasurer followed by the other appointments made by the outgoing President. The Board of Directors shall determine the number of delegates funded by this PTSA.
- The quorum for a General Membership meeting shall be ten (10). A quorum for a Board Meeting shall be fifth-one percent (51%) of the Board of Directors. A quorum for an Executive Board meeting shall be two-thirds (2/3) of the Executive Board.
